Statutory Committees
Governing Council
- The Governing Council of the college is the supreme administrative body.
- It is constituted as per the norms fixed by AICTE, New Delhi; Affiliating University and Govt. Of Karnataka.
- The Governing Council is ambitious and converts aspirations into outcomes with a rigorous framework of governance.
- The Head of the Institution is appointed as the Chief Executive of the Institution and suitable arrangements are made to monitor his/ her performance.
- The council ensures the establishment and monitoring systems of control and accountability including financial & operational controls and risk assessment; clear procedure for handling internal grievances.
- Governing Council monitors the institution's performance against the plans approved; and also benchmarks this against other institutions wherever possible.
- The Governing Council should ensure the achievement of the mission and vision of the organization; future academic plans and research activities should be promoted by providing direction of implementation and overall monitoring of the activities.
- Governing Council must approve the budgetary allocation towards infrastructure, staffing and R &D.
- The Chairperson is responsible for leading the governing body, he is also responsible for its effectiveness and should ensure that the institution is well connected with the stakeholders.
- The Chairperson should support the head of the institution in the execution of the programmes.
Powers and Functions of the Governing Council
- The Governing Council shall exercise powers and discharge the functions as follows:
- Ensure proper management, maintenance and custody of the institution in relation to land, infrastructure, equipment and funds, including loans and grants received from AICTE, Central Government and Government of Karnataka.
- To ensure the good condition of the campus.
- Instructions are imparted in accordance with norms and standards prescribed by the Government of Karnataka and affiliating University.
- To ensure approval of the appointment of staff by way of the selection committee of the institute in accordance with the norms prescribed by AICTE and Government of Karnataka.
- To ensure implementation of the provision of acts, instructions, rules and regulations prescribed by AICTE and Government of Karnataka in matters of service conditions of the staff relating to the appointment, leave, Provident Fund, age of retirement and disciplinary actions.
- To ensure observance and compliance of instructions issued by AICTE, Government of Karnataka and affiliating University.
- To ensure that the building, land, furniture and facilities are not being used for any other purpose (such as holding political meetings, communal meetings), except for running AICTE approved courses in the institute.
- To submit reports and returns from time to time to AICTE, Government of Karnataka and affiliating University.
- Create a peaceful and favorable atmosphere for study free from ragging.

Academic Council
The Academic Council of the institution consists of Heads of the departments of all the branches and basic sciences. It meets twice in a month to discuss the various curricular and co-curricular activities that are planned for the academic year. It plans the Calendar events for the academic year and ensures that all the activities are run as per the plan. It takes appropriate measures for any deviation in the plan. The amount of coverage of the syllabus and the progress of various activities will be discussed at the end of every month. It also looks after the proper functioning of the various college committees that are put in place for the effective functioning of the institute by giving proper directions from time to time. It also conducts various staff meeting and class representative meetings from time to time to take stock of the academic progress and also to find out any difficulties faced by the student community in the institution.

Alumni Committee
In order to draw inspiration and resource to our current students, the Sai Vidya Institute ofTechnology Alumni Association was formed in the year 2014. All students of SAI VIDYA INSTITUTE OF TECHNOLOGY become members of this Association by registering themselves. A one-time, life membership fee is charged towards membership.
The annual Alumni Meet –SAMMILANA is held during the even semester of every academic year which sees coming together of alumni and provides an informal ambience for networking and knowledge exchange.
The goals of the Alumni Association are:
- Organizing 'Alumni Interaction day' every year to interact and guide their juniors.
- Training and helping the process of Placement of Juniors by interaction over weekends and also to enable useful knowledge exchange.
- Contribute to the intellectual infrastructure of SVIT by contributing
- Encourage merit among SVIT students by instituting scholarships

Proctor Committee
The strength of our institution is the proctorial system. In the proctor system, the faculty members will be assigned with a group of 20 students who take care of them in academic and non-academic matters and gives valuable guidance to improve student performance. All the teachings staffs act as proctors.
It is instrumental in providing students, a sense of security and belongingness, through elderly and enlightened guidance and to keep at bay, negative feelings of alienation, loneliness and void that are so common among fresher’s and to bring them into the healthy fold of campus community of the institution.
The objectives of the Proctor Committee are:
- Close monitoring of the student's progress in terms of his / her attendance, punctuality, learning capabilities, utilization of facilities and overall academic performance as part of curriculum requirements.
- On the extracurricular front, help identify and correct student's distractions and deviations, attitudinal aberrations and instil positive growth in them.
- Stimulate a healthy and mutually inclusive relationship between teacher and student.
- Monitoring and correction of any deviant behaviour in students.
- Monitoring student activities and building self-confidence, self-reliance.
- To provide single window contact of information to all parents about their wards during their student life on campus.
Cultural Committee
The Cultural committee helps the students to distinguish themselves apart from their curriculum. Students are encouraged to take part in various cultural events in our college and other colleges to showcase their talents. The committee ensures a creative involvement in various events and it is committed to giving a platform to explore their talents by encouraging them to participate in any sort of competitions. We also have our own college fest called ‘SANCHALANA’ that claims a comprehensive cultural feed for all the students.

Disciplinary Committee
Indiscipline is a serious aspect of concern amongst students owing to peer pressure and other kinds of distractions around them. Their behaviour changes and they react differently to various situations. This committee monitors the students and ensures that no indiscipline happens. Also, in the event of any indiscipline activities, the action is taken by the committee. There is a dedicated team which frequently monitors the discipline of the students on the campus.

NSS Committee
The National Service Scheme is an Indian government-sponsored public service program conducted by the Department of Youth Affairs and Sports of the Government of India. Popularly known as NSS, the scheme was launched in 1969. Aimed at developing student's personality through community service, NSS is a voluntary association of young people in Colleges, Universities and at +2 level working for a campus-community linkage. The social activities aim to include social welfare in students and to provide service to society without bias. NSS volunteers work to ensure that everyone who is needy gets help to enhance their standard of living and lead life of dignity. The Sai Vidya Institute of Technology students actively participated in events conducted on behalf of Sai Vidya Institute of Technology NSS unit.
The NSS unit of the college has more than 100 student members and approved by VTU. The unit is headed by Dr. Harish H T, Chief Librarian & NSS Program Officer

Physical Education & Sports Committee
Parallel to studies, in order to give motivation and an opportunity to excel in sports to interested students, this committee looks into the needs of budding sportspersons. The college campus has facilities and equipment for a number of sports, for which there is good participation of boys and girls, pursuing undergraduate and postgraduate programs. Students participate in the sports, helping them to perform well in college events at state and national levels.

Student Council
The institution has an effective student council comprising of a class representative from each class as a member of the council. This council represents their respective student community by bringing those peer issues into consideration and report to the Proctor HODs and Principal. They also act as a first information messenger to the concern teachers for the smooth conduction of the classes.

Research Council
Research and Development (R & D) plays a major role in the development of any organization, which also includes educational institutions. The research committee headed by the Principal was constituted for the same reason. MOOC Committee
The Institution has a MOOC committee which is formed for the benefit of students to register them to various online courses like NPTEL In their domain to upgrade their knowledge. Staff Selection Committee (SSC)
Staff Selection Committee, headed by the Chairman GC, is formed as and when faculty members/staff are to be recruited. Generally, the committee meets twice in a year at the beginning of each of the semesters. The Chairman of the SSC Principal, senior faculty members, and concerned HODs act as the members of SSC. The main responsibility of the SSC is to identify the right candidates for various Teaching and Non-Teaching positions. All the recruitments are subject to ratification by the Governing council. Student-teacher ratio and Cadre ratio are maintained as per AICTE/VTU regulations.

GRIEVANCE REDRESSAL CELL
GUIDELINES
Sai Vidya Institute of Technology is committed to provide safe, fair and harmonious environment for learning and working. Grievance Redressal Cell was set up at SVIT in accordance with the University Grants Commission Regulations 2012 (The Gazette of India, March 23-29, 2013), and Article XXV of the Constitution for handling grievances related to students and staff members. Grievance Redressal Cell facilitates the resolution of grievances in a fair and impartial manner involving the respective Department in maintaining necessary confidentiality, whatever be the nature of Grievance. Any stakeholder with a genuine grievance may approach Grievance Redressal Cell and submit the grievance in writing. The written Grievance may also be dropped in the Suggestion / Complaint Box. The Grievance can also be brought to the notice of the Grievance Cell through online Grievance Registration Form available in the College Website www.saividya.ac.in.
The function of the cell is to look into the complaints lodged by any staff/student of the college and judge it’s merit. The Grievance Cell is also empowered to look into the matters like harassment. In case the person is unwilling to approach Grievance Cell in person may drop the grievance suffered from in writing in the suggestion box installed at convenient locations in the campus.
Objective
The objective of the Grievance Cell is to develop a responsible and accountable attitude by the students and staff members in order to maintain a harmonious and congenial atmosphere suitable to an educational institution.
A Grievance Cell is constituted for the redressal of the problems reported by the Staff/Students of the College with the following objectives:
- Upholding the dignity of the College by ensuring trouble-free atmosphere in the College by promoting cordial Student-Student relationship and Student-Teacher relationship, etc.
- Encouraging the Staff/Students to express their grievances / problems freely and frankly, without any fear of being victimized.
- Advising Staff/Students of the College to respect the right and dignity of one another and show utmost restraint and patience whenever any occasion of rift arises.
- Ensuring that the Students or staff to refrain from inciting Students or staff against other co-students, teachers or colleagues or College administration.
- Advising all staffs to be affectionate to the Students and not to behave in a vindictive manner towards any of them for any reason.
Functions
- The cases are attended promptly on receipt of written grievances from the students/Staff
- The Grievance Cell formally takes action on all the cases and acts in accordance with the laid down Policy of the Insitution.
- The Grievance Cell submits ‘findings’ of each case attended to, to the Authority for furtherance in the matter.
Procedure for lodging complaint
- The students/staff may feel free to submit their grievances, if any, in writing to the Grievance Cell or dropping the same in the Suggestion/Complaint Box or through the online Grievance Registration Form provided in the College Website www.saividya.ac.in.
- The Grievance Cell assures that the grievance would be solved within a reasonable time limit.
Follow up & Monitoring
Grievance Redressal Cell shall coordinate, monitor and ensure the ‘redressal of grievance’ within a reasonable time limit depending upon the gravity of the grievance being suffered from. Redressal Cell is at liberty for the collection of accessible documentary evidences, witnesses for the final disposal of the case.
Scruitiny
Grievance Redressal Committee will make a thorough review of the redressal process. In case the Grievance Redressal Committee feels satisfied with the solution provided at the department level itself, on intimation by the department to that effect, along with the acceptance letter by the grievant, the matter will be treated as closed.
Call for hearing
If the Grievance Redressal Committee is not satisfied with the resolution provided by the respective department/individual or upon the Grievant’s written request, the committee shall fix a date for hearing, and intimate the same to the respective department/individual as well as the grievant via e-mail. If, at the conclusion of the hearing, the committee feels that additional information, evidences or witnesses are to be examined to make a decision, the parties shall submit such information, evidence or witnesses. In this event, the hearing will remain open until such information, evidence or witnesses are produced by the parties.
Investigation
If a resolution is not achieved through hearing, then necessary steps will be taken to conduct a fair and impartial investigation into the matter giving rise to the grievance and concludes the case based on the merits the evidences on record and the deposition by the witnesses. Grievance Redressal Committee will have the right to examine the witnesses and allows for cross-examination by the opposite party as well, to draw conclusion.
Final decision
After the hearing or investigation, the Grievance Redressal Committee shall use its best efforts to work out a resolution of the issues involved with the parties named in the grievance application – pass an order indicating the reasons for such order, as may be deemed fit.
Communicating the decision
Upon completion of proceedings, the Grievance Redressal Committee shall communicate the final decision to both the parties via email, which shall be binding on both the parties.
Closure of complaint
The complaint shall be considered as disposed off and closed when:
- The grievant has indicated the acceptance of the resolution
- The grievant has not responded within four weeks from the date of receipt of information on resolution
The Proceedings of the Enquiry concerning each grievance will be recorded in a systematic manner. The information related to the proceedings shall be treated as confidential and can be viewed only by the members of the Grievance Redressal Committee.
